Client Background

This American company has been a significant player in the aerospace industry for several decades, providing clients and consumers with high-quality products and services across the country. Their supply chain team handles vendor communications and pricing updates that are critical to operational success. 

The Challenge

The Supply Chain Team at National Aerospace Company was taking on additional responsibilities while the size of their team was shrinking. To keep up with a growing workload, this organization needed to drastically reduce the time it took to update their ERP system, SAP, with new vendor pricing information.

Their Vendor Cost Update process involved numerous steps, extensive error handling, and spanned across different teams within the company. The process was both time-consuming and kept teams from more productive tasks, largely due to the lack of standardized vendor price lists, invalid products, and missing materials. Updating vendor price lists could take the team weeks.

Without vendor costs getting updated in an appropriate amount of time, issues with inaccurate budgeting and pricing, supply chain disruptions, compliance, and audit risks plagued the team.

Our Approach

Integrātz implemented Robotic Process Automation (RPA) using the Hyperstack Automation Framework™ to integrate the customer’s mail system and SAP ERP. To achieve this, digital workers were created within Blue Prism to automatically identify notifications, execute data entry, initiate approvals, and update pricing details in SAP.

The use of these digital workers resulted in two critical improvements of the existing process: increased speed and accuracy. The manual effort required to process, categorize, and update the vendor pricing list within SAP was significantly reduced, creating a more streamlined, automated system.

The newly developed automated process now starts with receiving and validating a vendor price list, followed by adding an expiration date to outdated prices and importing the new list into SAP via Winshuttle. The digital worker then exports and reviews the “analysis spreadsheet” to ensure column alignment, correct errors, and flag changes between previous and current pricing that exceed 15%. If there are missing materials or upload issues, the digital worker then corrects and re-processes the file before emailing the Pricing Team with the required documentation.
